1. Introduction
This agreement is made between Best Rent (VAT N. IT06582440480, Tax code: SLVCST92E67D612P, Viale Matteotti 15, 50041, Calenzano, Firenze) hereinafter referred to as the “Facilitator”, and the Tenant (the person making the booking through the platform). By using the platform, the Tenant agrees to the following terms and conditions.
The Facilitator acts as an intermediary, connecting the Tenant with third-party property owners or managers (hereinafter referred to as the “Property Owners”) for short-term rental accommodations.
2. Purpose of the Agreement
The Facilitator provides a platform to facilitate the booking of rental accommodations. This agreement governs the general terms of booking. The actual rental agreement for the accommodation will be signed directly between the Tenant and the Property Owner upon arrival.
The platform is intended for bookings of minimum 5 nights (the minimum required to attend a Europass course) and every booking under five nights could be subject to cancellation with complete refund pending owner’s request.
The Facilitator is not the owner of the properties and assumes no liability for matters related to the accommodation itself, such as maintenance, repairs, or disputes between the Tenant and the Property Owner.
3. Booking and Payment
Booking Process: The Tenant will receive an email confirmation once the booking is ongoing. The Tenant will have a reasonable technical time to finalize the payment via bank transfer, otherwise the apartment availability will go back online and the tenant will be notified that the booking is no longer considered active.
Payment: Payment may be made directly to the Facilitator, trough bank transfer, as specified during the booking process.
The Facilitator may retain a service fee or commission from the total booking price.
Included Costs: Booking prices include cleaning fees, booking fees, utility fees, bedding and towel fees. Booking prices do not include Local Tourist city tax.
4. Obligation to Sign the Property Owner’s Terms
The Tenant acknowledges and agrees that, upon arrival at the reserved accommodation, they will be required to sign a separate rental agreement (hereinafter referred to as the “Rental Agreement”) provided by the Property Owner. The Rental Agreement will detail specific terms related to the stay, including property rules, responsibilities, and any applicable local regulations. Failure to sign the Rental Agreement upon arrival will result in the Tenant being denied access to the accommodation, without any entitlement to a refund.
Additionally, the Tenant will be required to present a valid form of identification and pay the local tourist city tax, as mandated by applicable laws. Failure to comply with these requirements may also result in the denial of access to the accommodation, without any entitlement to a refund.
5. Cancellation and Refund Policy
- Cancellations made more than 60 days before the check-in date: 80% refund.
- Cancellations made more than 45 days before the check-in date: 50% refund.
- Cancellations made more than 30 days before the check-in date: 30% refund.
- Cancellations made less than 30 days before the check-in date: no refund.
In the event of cancellation by the property owner due to extraordinary circumstances or causes of force majeure, the Facilitator will make reasonable efforts to provide an alternative accommodation of similar quality or issue a full refund.
6. Responsibilities
Facilitator’s Responsibilities:
The Facilitator is not responsible for any issues related to the property, such as maintenance, cleanliness, or disputes. These must be resolved directly between the Tenant and the Property Owner.
Tenant’s Responsibilities:
The Tenant agrees to:
- Comply with all applicable local laws and regulations.
- Provide required identification and documentation as requested by the Property Owner.
- Pay any local taxes (e.g., city tax) as mandated by local authorities.
7. Liability
The Facilitator is not liable for:
- Any damage or loss incurred during the stay.
- Disputes or claims arising between the Tenant and the Property Owner.
- Events beyond its control, including but not limited to natural disasters, strikes, or pandemics.
8. Privacy and Data Protection
The Tenant’s personal data will be processed in compliance with the General Data Protection Regulation (GDPR) and as outlined in the Facilitator’s Privacy Policy, available on the platform.
9. Governing Law and Jurisdiction
This agreement is governed by Italian law. Any disputes arising from or in connection with this agreement shall be subject to the exclusive jurisdiction of the courts of Florence, Italy.
10. Acceptance of Terms
By proceeding with the booking, the Tenant confirms that they have read, understood, and agreed to these terms and conditions.
